Who we are
SportPicz.com provides photography at youth sports tournaments in Canada. We are the organization responsible for the personal information described here. Contact: hello@sportpicz.com.
What we collect
Photographs taken at tournaments where we are the appointed official photographer. Facial matching data derived from those photographs, used solely to group photos by athlete. A selfie you upload, used once to find your athlete and then discarded. Purchase information — your email address and PayPal's confirmation of payment. We never see or store your card details. Basic site analytics, including which QR code you scanned.
Facial recognition, and why we use it
We use automated face matching for one purpose: so a parent can find photos of their own child without scrolling through thousands of images of other people's children. It is a privacy measure as much as a convenience — it is what lets us avoid publishing a browsable gallery of minors.
Facial matching data is derived from event photographs, is used only within that event, and is deleted when the event's photographs are deleted. It is never used to identify anyone outside the event, never combined across events without consent, and never sold, licensed or shared.
Legal basis and consent
We photograph only at events where the organizer has appointed us as official photographer and where participating families have agreed to event photography through tournament or club registration. Regardless of that consent, a parent or guardian may withdraw at any time — see Opting out below. Your withdrawal always takes precedence.
Children
These photographs are of minors and we treat them accordingly. Galleries are not publicly browsable. Access is limited to parents and guardians. We do not knowingly permit a child to purchase, and we do not market to children.
Opting out
Email privacy@sportpicz.com with your child's name and the tournament. We will remove them from face matching and delete their photographs — no explanation required, no form to complete. We act on these the same day wherever possible. You may do this before, during or after an event.
How long we keep things
Event photographs and their matching data are deleted 90 days after the event, unless you have purchased permanent archiving, in which case we retain your athlete's photographs until you ask us to delete them. Selfies are discarded immediately after matching. Purchase records are kept as long as Canadian tax law requires.
Who else is involved
We use FOTNY to host galleries and perform face matching, and PayPal to process payments. Each receives only what it needs to perform that function. We do not sell personal information to anyone, for any purpose.
Your rights
Under Canadian privacy law you may ask what we hold about you or your child, ask us to correct it, ask us to delete it, or withdraw consent. Write to privacy@sportpicz.com. If you are unsatisfied with our response you may complain to the Office of the Privacy Commissioner of Canada, or to your provincial regulator.
Security
Photographs are stored with our platform provider under access controls. Transfers are encrypted. No system is perfect, and if a breach affects you we will tell you and the relevant regulator as the law requires.
Changes
If we change this policy materially we will post the change here and update the date above.
