From sign-up to your first payment

  1. Sign up on this page

    Two minutes. Your club's details and one checkbox to accept the partnership terms. No payment details, because nothing is ever owed.

  2. Tell us your tournaments

    We reply within one business day to confirm which tournaments your teams are entered in, and ask for a team list so we know who we're photographing.

  3. Forward one note to your families

    It explains what's happening, what it costs and how to opt out. It's written for you and appears the moment you sign up.

  4. We shoot, families look

    Our photographers cover your teams courtside. Each family finds their own athlete's photos by private face match and previews all of them free.

  5. The club gets paid

    Within 30 days of each tournament, by e-transfer or cheque, with a report showing what sold. You never invoice us or chase a payment.

How we handle the children

The section your board will ask for

  • No public gallery

    There is no browsable gallery of your athletes. Nothing is indexed, nothing is linkable, nothing is searchable by name.

  • Only a child's own parents and guardians

    Photos are found only through a private face match. A parent gives us one photo of their own child so the match knows who to look for. It's used once, then discarded.

  • Opt-out at any time

    One email from a parent removes their child from matching. We act on it as soon as we can, usually the same day. It overrides any consent given through registration.

  • Insured, identifiable, in public areas only

    Every photographer is insured, works in a SportPicz jersey, and shoots only from the public areas of the venue, such as courtside and the stands.

  • Photos go to families, not to the club

    The club doesn't receive the photographs or gain the right to use them. Using a child's photo for promotion is that family's permission to give, not the club's or ours.

  • Deleted after 90 days

    Photographs are deleted 90 days after each tournament unless a family has purchased archiving.

Before you take it to the board

Is there really no cost to the club?

Yes. There is no upfront payment, no fee, no minimum number of sales and no commitment to buy anything. We earn only when a family chooses to buy, and the club's share comes out of that.

What are we agreeing to when we sign up?

The Club & League Partnership Terms: we photograph your club's own athletes at the tournaments you tell us about, the club receives 25% of what your families spend, photos go only to each athlete's own parents and guardians, and either side can cancel at any time by email with no penalty. It's a short page and it's worth reading.

Do we need our board's approval first?

That's your club's call. The person who signs up confirms they're authorised to accept for the club. If you'd rather talk first or take it to a meeting, choose "Talk first" on the form and nothing is agreed to. Because the club can cancel at any time, saying yes doesn't lock anyone in.

How and when is the club paid?

Within 30 days of the end of each tournament, by e-transfer or cheque to the contact you nominate, together with a report showing what sold. The club never has to invoice us. See a sample statement.

What do our families need to have agreed to?

The club confirms that its families have agreed to photography of their children as part of club or tournament registration, and passes our note on so every family knows it's happening and how to opt out. Any parent can opt their child out at any time with one email.

Can the club use the photos?

No. Photos go only to each athlete's own parents and guardians. Using a child's photograph for club promotion would need that family's permission, which is theirs to give.

We're a league, not a club. Does this work for us?

Yes. The same terms apply: we photograph your league's athletes at the games and tournaments you tell us about, and the league receives the same 25% share. Tell us roughly how many teams you have on the form.

What if a tournament already has its own photographer?

Where a tournament or venue has its own photography rules, we follow them. Under this partnership we're there to photograph your club's athletes only; it doesn't make us the official photographer of any tournament.

Which sports do you cover?

Volleyball and basketball first. If your club plays something else, sign up or choose "Talk first" and tell us; we add sports as clubs ask.
